Welcome UhaulCarShare®

This handbook is your tool to use as a UhaulCarShare® customer. It is the guide that shows the way you, us and all other UhaulCarShare® customers can work together to make car sharing enjoyable and carefree. This handbook also includes certain obligations, terms and conditions that apply to your use of the UhaulCarShare® Vehicle. You agree to read the Handbook and you agree to all of the terms and conditions of the Handbook.

Reservations

1. Login to the UhaulCarShare® website using your user ID (email address) and password.

2. Select the location, time and type of car you would like to reserve.

3. Choose which of the available cars in your area you would like to reserve.

4. Click the “Reserve” button to select your vehicle.

5. Select the credit card or other form of payment you would like to use to pay for your reservation.

6. Click “Confirm” to confirm your reservation.

7. You may print the confirmation in case there are any issues at the time of your reservation or choose to send a text confirmation to your cell phone.

  • If you have a smart phone, we recommend printing to PDF and having a copy on your phone instead of printing to paper.

Before Driving

You shall wear seatbelts during operation of a UhaulCarShare® Vehicle. You will require that all passengers wear seatbelts.

Before every trip, you must do a visual inspection of the UhaulCarShare® Vehicle inside and out. You must check for any noticeable defects in the operations or safety of the UhaulCarShare® Vehicle. Also, you must check for damage inside and out including dents, large scratches, tears and windshield cracks. Any minor damage should be reported in the UhaulCarShare® Guide located in the glove box (If damage has already been marked, there is no need to mark it again). If there is any serious damage that is not marked in the UhaulCarShare® Guide or the previous member left the UhaulCarShare® Vehicle in an unclean condition, please call us immediately for assistance. Failure to note any damage caused by a previous member may result in your responsibility for the damage.

You will not operate a UhaulCarShare® Vehicle when any defect in the operations or safety of the UhaulCarShare® Vehicle has been noticed by you during this inspection.

During Your Reservation

Keys should be kept with you at all times during your reservation. Once your reservation is complete, keys should be returned to the lockbox by completing the reservation closing process on UhaulCarShare.com.

No Unauthorized Drivers

Only approved UhaulCarShare® customers are allowed to drive UhaulCarShare® Vehicles. No unauthorized drivers are allowed to operate UhaulCarShare® Vehicles. Customers are subject to immediate termination upon any use of their reserved UhaulCarShare® Vehicle by an unauthorized driver. We reserve all rights against you and any unauthorized driver for any loss or damage that we incur or that is incurred by a third party, resulting from the use of the UhaulCarShare® Vehicle by an unauthorized driver.

Returning

Upon returning, park the UhaulCarShare® Vehicle in the same spot from where you picked it up. Be sure you collect all your personal items and have the vehicle in as clean condition as when you picked it up. Remember that the UhaulCarShare® member after you will use the vehicle the same way you leave it. Simply be courteous to other members. Log into your UhaulCarShare.com account and complete the return vehicle process.

*In the event that the UhaulCarShare® spot is occupied by another vehicle upon returning, call us immediately at 877-990-8227 and we will give you other parking options. It is never acceptable to leave a UhaulCarShare® vehicle in another metered parking space. You will be responsible for all tickets incurred for parking in a metered space during and/or after your reservation.

Fueling and Washing

We'll pay gas for you as long as you help us fill it up. As a member you are required to fill the tank when it reaches below ¼ tank. Please follow these directions:

1. The gas card is located on the driver side visor.

2. Like any other credit card, use it at the pump or bring it in to the attendant.

3. You will be asked to enter your Driver ID.

  • Your Driver ID will be on your reservation confirmation page and your account page under My Profile.

4. Enter the full odometer reading (Be sure it's not the trip meter).

5. Fill the tank completely with regular unleaded gasoline.

6. Tighten the gas cap completely and put the card back in the glove box.

These cards are accepted at most gas stations (one exception is ARCO). If the gas station does not, please continue to the next place or put some gas in it with your own credit or debit card and we will reimburse you upon submission of a receipt.

In the event the gas card does not work, you have the option to put a maximum of $15 worth of gas on your own and UhaulCarShare® will reimburse you for that amount upon a properly submitted receipt.

Maintenance

UhaulCarShare® staff regularly checks our vehicles for maintenance and cleaning issues. We handle all oil changes as well as any other needs associated with maintenance. In the event that a vehicle requires minor action, such as windshield washer fluid, air in the tire, etc, UhaulCarShare® will reimburse expenses up to $15 with the submission of a receipt. For more serious issues, contact UhaulCarShare® right away.

Emergencies and Insurance

1. Call 911 immediately if there are any injuries.

2. Call our ACCIDENT HOTLINE at 1-800-528-0355.

3. You can also receive assistance by calling the standard UhaulCarShare® line at 1-877-990-8227.

4. The Glove Box Guide also offers assistance in the event of accidents.

Damage Waiver

Each UhaulCarShare® member is afforded a damage waiver in the event a UhaulCarShare® vehicle sustains loss or damage as a result of an accident. The damage waiver is effective only during a valid reservation for that Member’s reserved vehicle. This damage waiver is specifically subject to the following:

1.) Each member is responsible for the first $500 of loss or damage to the UhaulCarShare® vehicle;

2.) The damage waiver does not apply to any damage or loss caused by the intentional or reckless acts or omissions (including but not limited to any misuse or abuse of the UhaulCarShare® vehicle) by the Member;

Insurance

Each UhaulCarShare® Share customer is provided an automobile liability insurance policy for the UhaulCarShare® Vehicle during a reservation but only for the minimum limits required by the automobile financial responsibility or compulsory insurance law of the jurisdiction in which the accident occurs.

UhaulCarShare® Share Rates

Are those rates that are posted for that Vehicle on the web site. UhaulCarShare® Rates may be modified for any Vehicle at anytime by posting to the web site but newly modified rates will not apply retroactively to existing reservations.

You agree that you will be charged for all hours reserved in addition to any hourly and any partial hourly usage over the hours reserved.

Customers will be billed for UhaulCarShare® charges after a completed reservation. You authorize us to charge to, and agree to pay by, that credit/debit card selected at the time of your reservation, for all reserved hourly and any partial hourly or hourly use of the UhaulCarShare® Vehicle.

Primary Account Holder Responsibilities

You, the primary account holder have the option of adding additional drivers to your account. Feel free to invite your spouse or children to join your account. As the primary account holder, you authorize UhaulCarShare® to charge your credit card for any reserved time and/or fees that may come about from any approved members on your account. In the “Manage Drivers” section of your account settings, you can adjust the usage you will allow your secondary-account members to have. This can be in the form of limiting the times of use or the amount of use on your credit/debit card. Keep in mind that you are responsible for any fees, including late fees beyond an allowed time, associated with that member's use of the vehicle.

Secondary Account Holder Responsibilities

As a secondary account holder, you have the option to add your own credit card as a form of payment for reservations outside specified parameters set by your primary account holder. In the event you select to use your own credit/debit card as a form of payment, you are taking full responsibility for any and all rates and fees associated with the use of the vehicle.

Corporate Account Holder Responsibilities

If you are a corporate account administrator, you have the option of adding additional drivers to the corporate account. Feel free to invite your employees, faculty and staff to join the account as you see fit. As the corporate account administrator, you authorize UhaulCarShare® to charge your corporate account for any reserved time and/or fees that may come about from any approved members on the account. In the “Manage Drivers” section of your account settings, you can adjust the usage you will allow your secondary-account holders to have. This can be in the form of limiting the times of use or the amount of use on your corporate account. Keep in mind that you are responsible for any fees, including late fees beyond an allowed time, associated with that driver's use of the vehicle. A corporate account administrator must approve all drivers on the account and has the ability to remove drivers at any time.

UhaulCarShare® Fees/Other charges

You authorize us to charge to, and agree to pay by, that credit card/debit card given to us at the time of your application, for any and all assessed and/or incurred fees and charges as set forth below:

1. Registration fee:

There is no registration fee due upon application to the UhaulCarShare® program. 

2. Reservation fees/Other participation fees:

You will be charged and you will pay for reservations booked on your account plus mileage costs, if applicable. If the vehicle is not used during the reservation, you will still be charged and you will pay for the time reserved, but you will not be charged for any miles. In some cases, you may be asked to provide an estimate on miles traveled for billing purposes.

You have until 3 hours prior to the start of your reservation to cancel without incurring a fee. You will be charged for the first hour of usage for cancellations made short notice within this period.

If you make a reservation within 3 hours of the start time, you have 30 minutes from the time of making the reservation to cancel without a penalty.

In addition, you shall pay for any federal, state or municipal licenses, fees or taxes in conjunction with your participation in the UhaulCarShare® Program.

You agree that at anytime before three (3) hours prior to the start of your reservation you can cancel the reservation without incurring a fee. However, you agree that if you cancel your reservation within three (3) hours prior to the start of your reservation, you will be charged and you will pay the first hour for that reservation.

If you make a reservation within three hours prior to the start of your reservation, you have 30 minutes from completing the reservation to cancel without incurring a fee.

3. Parking Fines, Citations and Towing:

There is a $25 penalty fee plus the cost of any fine, citation or towing charges incurred. You shall pay for any parking fines, citations or tow/storage charges incurred in conjunction with your use of a UhaulCarShare® Vehicle. You expressly authorize us to release your information to that government authority that seeks reimbursement for those parking fines, penalties and tow/storage charges in conjunction with your use of a UhaulCarShare®.

4. Late Payment Fee:

If your credit/debit card declines for any reason, you may be assessed a $25 late payment fee. Upon a declined credit/debit card, your membership will be temporarily inactive until you login again and provide a valid credit/debit card.

5. Late Return Fee /Failure to Return Charges:

Your failure to return the UhaulCarShare® Vehicle as agreed to may result in monetary loss and/or damages to us, including but not limited to lost revenue damages. Therefore, notwithstanding the following, we reserve our rights to charge to you, and you agree to pay for, any and all monetary loss or damage incurred as a result of your failure to return the UhaulCarShare® Vehicle.

Because you are sharing theUhaulCarShare®Vehicle with other members, it is very important that you adhere to your scheduled reservation times. There may be other members waiting for you upon return. You may be assessed the following fees as follows if you are late in returning the UhaulCarShare® Vehicle:

(a.) If you DO NOT call us before your reservation expires:

- $25.00 Late Return Fee

-Any hourly or partial hourly charges incurred.

(b.) If you DO call us before your reservation expires:

-If no customers have reserved UhaulCarShare® Vehicle, we will extend your reservation and you are responsible for any hourly or partial hourly charges incurred beyond a 15 minute grace period.

-If a customer is waiting, we will give you a 5 minute grace period. Beyond that, you are responsible for any charges we incur taking care of the waiting member (taxi, bus...etc.), any hourly or partial hourly changes incurred and a $25.00 Late Return Fee.

TIP: To avoid late fees, opt-in to our text message notifications. We will send you a text message 30 minutes before your car is due back as a reminder. Also, if it is available to extend we will let you know in the text.

6. Allowed Mileage/Excess Mileage Fee:

With each reservation, your mileage rates and/or mileage allotted are clearly posted for each vehicle on the website.

You agree that mileage rates and mileage allotment are based on a per day allotment and not on a cumulative allotment for the entire reservation. For example, if you have a 2 day reservation and you are allotted 180 miles per day, you are given 180 miles for day 1 and another 180 miles for day 2. Therefore, you are not given more than 180 miles per day for that 2 day reservation.

7. Failure to Refuel Fee:

In the event that you do not refuel the vehicle when it reaches below ¼ tank, you will be charged a $25 fee for failure to refuel the vehicle.

8. Smoking/Pets Fee:

There is no smoking allowed in the UhaulCarShare® Vehicle. Pets ARE allowed, but in carriers only. Failure to follow these rules will result in a $25 fee plus the full cost of cleaning and damage caused by smoking or pets to the UhaulCarShare® Vehicle.

9. Cleaning Fee:

If you leave the vehicle interior too dirty for the next member, you will be charged a $25 cleaning fee.

10. Ignition Key/Key Fob Replacement Fee:

In the event of a lost key, you will be assessed a $25 re-key fee plus the cost of replacement.

No unauthorized drivers are allowed to operate UhaulCarShare® Vehicles.  Customers are subject to immediate termination upon any use of their reserved UhaulCarShare® Vehicle by an unauthorized driver. We reserve all rights against you and any unauthorized driver for any loss or damage that we incur or that is incurred by a third party, resulting from the use of the UhaulCarShare® Vehicle by an unauthorized driver.

No Transportation of certain articles/Transportation to Mexico/Observe laws

You will not store or transport any flammable, alcohol, toxic, volatile, poisonous, dangerous, or illegal substances, in the UhaulCarShare® Vehicle.

You will not take a UhaulCarShare® Vehicle into Mexico. This includes temporary border crossings.

You will observe all applicable provisions of the federal, state and local laws and regulations when operating a UhaulCarShare® Vehicle.
